How to set up the Jobs module for your team

The Jobs module is designed to help your team plan work, track progress and keep a clear history of what has happened. A job can represent almost any piece of work your team needs to manage, from an internal task through to a customer-facing piece of work.

Before anyone starts using jobs day to day, an admin should decide how the module will be organised. This includes enabling the module, deciding how job index numbers will be created, and setting up the job types your team will use.

Enabling the Jobs Module

Once the Jobs module has been enabled for your team, users will see the Jobs section in the main menu. From there they can create new jobs and open the jobs area to search and manage existing work.

If a user cannot see Jobs, first check that the module is enabled for the account otherwise please contact us.

Choosing How Job Numbers Work

Every job has a code or number so it can be identified quickly. Your team can set this up in one of two ways:

  • Automatic numbering, where Mashoom creates the next job number for you
  • Manual numbering, where the user types the job number when creating the job

If automatic numbering is enabled, the next number is based on Mashoom's numbering algorithm. This is useful when you want a consistent format across the whole team.

If automatic numbering is turned off, the person creating the job will be asked to enter a number manually. In practice, this means you should decide on a clear numbering format in advance so everyone enters codes consistently.

Deciding What a Job Should Track

Before creating jobs, think about the information your team needs to record. For example, you may want one job type for installation work and another for service visits, each with different fields.

Mashoom supports this by letting admins set up different job types, choose what other records a job can be linked to, and control how a job moves from one stage to another.
