Adding Forms For A Colleague To Complete
An example workflow for creating a form ahead of time, then sending it to a colleague to complete

Mashoom offers the option to have a process whereby forms are set up ahead of schedule, maybe by an office admin. The form filling jobs can be created on Mashoom, making them ready for an engineer / operator to complete at a future date. They will then log on, and search for their allocation of asset/jobs using criteria such as a customer name, location, calibration date, job number etc.
The forms should be started by the admin team, this could involve adding the asset on the system and / or filling in some starting information on the form, for instance the customer and location. An offline template could be used to speed up this process; use a partially filled in template to upload to each form, which would speed up creating the same form for one customer.
This process can be combined with the form filler being able to create forms if they need to on the day; if they find the customer has another asset that needs recording for instance.
How The Colleague Receives The Forms
The partially completed forms should then be handed off to the person who will complete the data collection. An email notification will be sent when the form is handed off, so one option could be to use the email inboxes as a way to structure the work.
Another simple option is to go to the form search page, and select the "Only show forms I'm editing" tick-box. A list of forms that have been handed off to them will be shown, they can simply start at the top of that list and work down. As the forms are completed, they will be removed from this list.

Filter search is also another option to find forms that need completing. The engineer can search for an asset/job ear-marked for them using single or complex multiple "Conditions" to identify the assets/jobs for their completion.

Once they've found the form in search, simply click on the form, then "click to continue", to open the form filling interface
